How do I add a Bond into QikKids?

Overview

A Service can choose to receive a Bond for a family and receipt this payment into QikKids.
The Service can choose to apply the Bond to the General Account Fees or save this credit amount in a Separate Statement Account.
If the Service chooses to hold the Bond aside this amount can be refunded or transferred to the General Account to pay for the General Account balance when the family is leaving care.

There are 4 ways to record a Bond in QikKids.
  1. Transfer the Bond from the General Tab to the Bonds Tab (refundable)
a) This will debit the general tab the amount of bond and automatically credit the bond tab this amount
b) The parent then pays the bond off into General
c) This method is beneficial when services want to show how parents how much bond they are required to pay on their normal statement
d) This option also assists Services and Families who are using  QikKids Payments, as they will have 1 receipt created for the TOTAL General Account Balance. This will include Attendance charges as well as the required Bond Payment.
 
        2. Apply the Bond payment directly to the Bonds Account Tab (refundable)
 a) This method is done when the family pays bond and the service directly receipts it to the Bonds tab
 b) The service needs to send a statement from the Bond tab to show the family the bond has been receipted against their account
 
        3. Apply a Bond Charge and then a Bond Payment to the General Tab (non-refundable)
  a) This will debit the General tab the amount of Bond
  b) The parent then pays the Bond and this is receipted into the General Tab
  c) This method is beneficial when services want to show how parents how much bond they are required to pay on their normal statement and apply the $0.00 balance once paid


4. Apply a Bond Payment directly to the General Tab (non-refundable)
  a) This will apply a Credit directly to  the General tab for the amount of Bond that the Guardian has paid
  b) This method is beneficial when services use the Bond to pay for the first week/s fees
 

Transferring a new Bond (refundable)

This option allows the Service to Transfer out the Bond Credit, leaving a Bond Charge to be paid through the General Tab.
This option also assists Services and Families who are using  QikKids Payments, as they will have 1 receipt created for the TOTAL General Account Balance. This will include Attendance charges as well as the required Bond Payment.

1. Select the General account tab.
2. Select Transfer

  1. Place the amount you want to charge for the BOND
  2. Select the Date
  3. Add in the Description eg Bond Credit.
  4. From will display - General Tab
  5. To will display - Bonds
  6. Select OK

This will debit the General tab and credit the Bond tab.

When the parent pays the BOND you can enter the payment through the Money button of the General tab or it will be taken out as a part of an auto-charge if you are using QikKids Payments. NO MONEY transactions should occur through the Bond tab.

Applying the Bond Payment directly to the Bonds Tab (refundable)

This option allows the Bond Payment to be receipted directly into the Bonds Tab. This option assists Services who receive the Bond Payment separately and would also like to track the Bond payment transactions separately to the Fee Payments.

To apply the Bond Payment to the Account.

  1. Select the Bonds Tab
  2. Select the Account name on the Accounts screen
  3. Select the Money Button
The Money Options will display:
  1. The Stat Account will display Bonds
  2. Use the drop down for Type to select eg. Bond Payment
  3. Select the payment method eg. Credit Card
  4. Add in the amount of the Bond Payment
  5. Select the date of the Bond Payment
  6. Add in a Description (if this has been enabled for this Transaction type)
  7. Select OK to save the payment
The Bond Account Balance will now be updated to include the payment amount, in this example $200.00.
The Bond Statement will also display the Description that has been added.

Applying the Bond Payment directly to the General Tab (non refundable)

This option allows the Bond Payment to be offset against the Account Fees. This option assists Services who have the Guardian pay a Bond and then this becomes their first week/s fees.

To apply the Bond Payment to the Account.

  1. Select the General Tab
  2. Select the Account name on the Accounts screen
  3. Select the Money Button
The Money Options will display:
  1. The Stat Account will display General
  2. Use the drop down for Type to select eg. Bond Payment
  3. Select the payment method eg. Credit Card
  4. Add in the amount of the Bond Payment
  5. Select the date of the Bond Payment
  6. Add in a Description (if this has been enabled for this Transaction type)
  7. Select OK to save the payment
The General Account Balance will now be updated to include the payment amount, in this example $200.00.
The Statement will also display the Description that has been added.

Applying the Bond Charge and a Bond Payment directly to the General Tab (non-refundable)


This option allows the Service to apply the Bond Charge directly to the Account Balance. The Bond can then be paid as a part of a QikKids Payment receipt or by another payment method that is added directly through the money button eg. Cash.

To apply the Bond Payment to the Account.

  1. Select the General Tab
  2. Select the Account name on the Accounts screen
  3. Select the Money Button
The Money Options will display:
  1. The Stat Account will display General
  2. Use the drop down for Type to select eg. Bond Charge
  3. Add in the amount of the Bond Charge
  4. Select the date of the Bond Charge
  5. Add in a Description (if this has been enabled for this Transaction type)
  6. Select OK to save the payment
The General Account Balance will now be updated to include the Bond Charge amount, in this example $300.00.
The Statement will also display the Description that has been added.

Refunding a Bond to a Parent

1. Click on the Bonds account tab.

2. Select Transfer.

3. Place amount you are refunding, and type BOND REFUND and Date in the Description.

4. Click OK. This will zero the BOND and create a Credit or Reduce the amount due in the General account. From there you can refund the money to the parent if they are entitled to a refund.

Bond – Now has 0.00 balance

General – The bond amount is now in the General account.
