Overview


ACCS  Additional Child Care Subsidy is the overall banner that covers:
  1. CW - Child Well being
  2. GCCB - Grand-parenting CCB entitlements
  3. TFH - Temporary Financial Hardship
  4. TTW - Transition to Work
The ACCS Determination is only to apply for Child Well being once the 6 weeks Certificate has been used.

The Determination can be created on an Account that has:
  1. CWA CCS Enrolment with CRN numbers for the Guardian and the Child
  2. OR an Account with an ACCS CCS Enrolment type created
  3. Certificate for 6 weeks has already been applied
  4. More than 50% of children per day have had a ACCS-Certificate applied for the period

ACCS Tab Overview

  1. ACCS - Allows a Certificate or Determination to be created
  2. ID - Displays the Certificate or Determination ID
  3. Centre - Displays the Centre the ACCS is linked to
  4. Type - Displays the Type of ACCS eg. Certificate, Determination or Foreign (Determination created by another service the child is currently attending)
  5. Child - Displays the Child name for the Certificate or Determination
  6. Status - Displays the Status of the ACCS
  7. New Certificate - Allows a new Certificate to be created
  8. New Determination - Allows a new Determination to be created
  9. Edit - Allows you to edit/view an existing claim
  10. Help - Takes you to a Help Document for further assistance
 

Determination Restrictions

  1. The Determination can claimed for 1-13 (max) weeks
  2. The weeks are to be used together
  3. Evidence is required
  4. The State and Territory need to be notified with the 6 weeks from the start date
  5. Can only be backdated 28 days from the current date (4 Mondays) 
  6. Can only be applied once the 6 weeks Certificate has been used
  7. More than 50% of children on the start date selected are on ACCS so a certificate cannot be created

 Determination screen overview

  1. Child - Name of the child to apply the ACCS - Determination to
  2. Centre - Allows you to select the service on the Database to apply the ACCS to
  3. Start Date - Allows you to select the Monday Start commencement date of the ACCS
  4. Please select Weeks at Risk - Allows you to select the weeks from 1-13 for the ACCS
  5. No Certificate linked - Displays if no Certificate has been linked to a Determination or will display the Linked Certificate details
  6. State Territory Details Have not been provided - Displays if the State and Territory details have not been linked to the ACCS or will display Blue State and Territory details have been provided if they have been uploaded
  7. Evidence Provided - Allows supporting Evidence to be uploaded and attached to the ACCS (Evidence must be provided in a Determination)
  8. Risk Reason (s) - Allows you to select the required Risk reasons for the ACCS​
  9. Risk to Date (Indicative) - Allows you to add a projected end date to the Child Wellbeing
  10. Additional Info -Provides a free text field to add further information regarding the Child Wellbeing
  11. Reason No 3rd Party - Allows you to identify why no 3rd party has been linked
  12. Browse (Attach) - Allows you to upload documentation for the Determination
  13. The Provided Information is invalid, click on the icon to see the errors - Allows you to view errors relating to the Determation
  14. State/Territory Details - Allows you to provide the State and Territory details
  15. Child no longer at Risk - Allows you to provide details on the change of circumstances to remove the Child Wellbeing status
  16. Query - Queries the information regarding the Determination from CCSS and update the Determination Response field
  17. Determination Response - Displays the current Determination status from CCSS
  18. Submit - Submits the Determination for processing
  19. Close - Allows you to close out of the Determination screen
  20. Help - Directs you to the QK Support Central page help documents

Creating the Determination

To create the Determination:
On the Account Screen select the name of the Account to apply the ACCS - Child wellbeing too
  1. Select the ACCS Tab
  2. Select New Determination

The screen below will display:
  1. Child - Select the name of the child to apply the child wellbeing to
  2. Centre - Select the name of the service to apply the determination to

Start Date

  1. Start date - Select the 3 ...
  2. Calendar - Select the Monday start date (note you will only be able to go back 4 mondays from the current date, if no other dates are displayed it is too far back and cannot be backdated)
  3. OK - Click OK to save the Start Date

Once the start date has been selected a Certificate will automatically be linked to the Determination.

If a Certificate hasn't been created or the full 6 weeks used from the Determination start date you will see the below error and will need to create a certificate.

Weeks at Risk

  1. Select the required weeks to apply the Determination for from 1-13 (max) weeks

Evidence Held

  1. Select the Evidence provided from the drop down menu

Risk Reasons

  1. Select the + next to risk reasons

The below screen will then appear:
  1. Select the risk reason (s)
  2. Select OK to save the information

Risk to Date (Indicative)

  1. Select the 3 ... next to Risk to Date

The below screen will appear
  1. Select the Sunday end date the Risk to date is up to
  2. Select OK to save the information

Additional Info

  1. Select the 3 ... next to Additional Info

The Additional info box will display:
  1. Add any additional details
  2. Select OK to save the information

Reason no 3rd Party

  1. Select the 3 ... next to Reason no 3rd Party

  1. Add in the details regarding why no 3rd party has been attached
  2. Select OK to save the information

Browse (Attach)

This option allows you to attach supporting documentation to the Determination.
To add an Attachment:
  1. Browse (Attach) - Select the 3 ...

 - Adding Documents

  1. You will see the below screen.
  2. File name - Allows you to view the name of the uploaded files
  3. MIME Type - Displays uploaded file type
  4. Document Type - Selected heading of uploaded supporting document eg. ACCS Evidence, ACCS State and Territory
  5. Submitted - Status of document
  6. Add - Allows you to add supporting documents
  7. Remove - Allows you to remove an uploaded- not submitted document
  8. OK - Allows you to save the uploaded documents

Select the document type to be added from the drop down

  1. After selecting the type click OK to save

  1. Copy and paste the where the file is stored on your computer
This image is not available because: You don’t have the privileges to see it, or it has been removed from the system
The file will now be attached to the Certificate

State/Territory Details

State and Territory details can be added to the ACCS Determination.
To add in the State and Territory details.
  1. Click on State/Territory Details

You will then see the below screen
  1. By State/Terr - Allows you to identify if you have been presented the details by the Department
  2. To State/Terr  - Allows you to identify you are sending details to the Department
  3. Date of Notice - The Date of the notification with the State and Territory
  4. State and Territory Details - Allows you to add in the contact details of the State and Territory that the Child Well Being has been reported to
  5. Details of Person at Provider/Service who Provided Notice - Allows you to add in the person who made contact with the State and Territory
  6. Browse (Attach) - Allows you to add documentation if required
  7. Additional Info - Allows you to add any further comments if required
  8. State Territory Response - Allows you to view the State and Territory response to the Determination

Submitting the Determination

The Determination will then display the below screen.
  1. Certificate linked 
  2. Blue State and Territory - State and Territory details linked to the Certificate
  3. Determination Details - All required information has been linked
  4. Submit - Submits the Certificate

The Declaration will then be displayed.
  1. Yes - Select YES to submit the Determination through for Approval

Determination Response

The Determination will show the updated information for the automatic response from CCSS
  1. Determination Response - Shows the current information for the status of the Determination Status will show as NEW
  2. Close - this closes the Determination screen 
NOTE: The Determination will be uploaded pending on Approval. Once the Approval Status has been retrieved the ACCS will be applied to the Account and update the Balances for the required period.

Child no Longer at Risk

Allows you to upload information to advise the circumstances of the child has changed and they are no longer at risk.
  1. Select the Child no longer at Risk button

  1. Date no longer at Risk - Select the Date the Child in no longer at risk
  2. Browse (Attach) - Add any support documentation
  3. State Territory Response - View the State Territory Response
  4. Update - Select Update to send through the updated child status
